CEO Business Assistant with Office Management Responsibilities

 

Your responsibilities:

  • Conduct research and prepare business presentations, reports, and other documents as needed
  • Follow up of the projects and open business task list with various business divisions
  • Manage the executive's calendar, schedule appointments, and coordinate meetings
  • Prepare agendas, take meeting minutes, and distribute notes/action items
  • Handle a wide range of correspondence on behalf of the executive
  • Coordinate domestic and international travel arrangements, including booking flights, hotels, ground transportation, etc.
  • Maintain electronic and physical filing systems to ensure organization and easy retrieval of documents
  • Provide exceptional customer service to internal and external stakeholders
  • Oversee the day-to-day operations of the office, including managing office supplies, equipment, and vendor relationships
  • Serve as the primary point of contact for facilities management, coordinating maintenance, repairs, and improvements
  • Develop and implement office policies and procedures to improve efficiency and productivity
  • Supervise and coordinate the work of recaption
  • Analyze office operations and identify opportunities for process improvements

Our requirements:

  • Bachelor's degree or equivalent combination of education and experience
  • Minimum 3 years of experience as an executive assistant working in International environment, with demonstrated success in a fast-paced, high-level support  role
  • Excellent English skills, including business English.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills, with the ability to interact effectively with all levels of the organization
  • Strong organizational skills, attention to detail, and the ability to prioritize and multitask
  • Experience in office management and/or supervision of administrative staff preferred
  • Knowledge of office equipment, supplies, and vendor management
  • Adaptable and flexible, with the ability to thrive in a dynamic, ever-changing environment
